Industries — HOSPITALITY: HOTEL PHONE SYSTEMS· MANHATTAN & THE NY/NJ METRO
Hotel Phone and PBX Systems for NY & NJ:
wake-up calls,
guest voicemail & PMS, always connected.
A guest judges a hotel by whether the small things work, and the phone touches more of them than any other system. Wake-up calls that fire on time, guest voicemail that reaches the right room, message-waiting lights, room status from housekeeping: all of it rides the link between your phone system and your PMS. NYC IT Works engineers and supports the hotel phone platforms you run, Cisco, Mitel, Avaya and 3CX, across the NY and NJ metro, keeps that PMS integration working, and handles the parts a generalist misses, down to the emergency-calling rules.

WHERE THE PHONE MEETS THE PMS
Wake-up calls, voicemail and room status only work when the phone talks to the PMS.
The calls a guest never thinks about, until one fails, are the ones that cross between systems: a wake-up call set at the desk, a voicemail light that clears when they pick up, a room marked ready from the handset. We keep the phone platform and its PMS integration healthy so those everyday moments simply happen and the desk is never troubleshooting a handset at check-in, and the harder obligations are handled too, from guest voicemail delivery to direct-911 dialing and a dispatchable location the moment a guest needs it, across every property you run in NY and NJ.
WHAT WE KEEP RUNNING
The three jobs your phone system has to get right.
THE PHONE PLATFORM
Dial tone that just works
Room phones, the front desk, back-of-house and conference lines all stay up: we keep the PBX or cloud phone platform and the network under it healthy, so calls connect and the desk isn’t troubleshooting handsets during check-in.
THE PMS INTEGRATION
Wake-ups, message lights & room status
The phone system talks to the PMS: automated wake-up calls, call accounting, message-waiting lights, room-status dialing from housekeeping. We keep integrations working so the little things guests expect don’t break.
EMERGENCY CALLING
Direct 911 + dispatchable location
Kari’s Law and the RAY BAUM’S Act require a room phone to reach 911 directly, notify the front desk + carry a dispatchable location. We build & document those controls on your phone system.

THE PLATFORMS WE WORK ACROSS
We know hotel phone systems from the inside.
We support the network, servers and integrations behind the major hotel phone platforms, on-premise PBX & cloud alike. We also help properties replace the legacy copper lines they still lean on, elevator phones, fire and emergency lines, as the carriers retire POTS. Knowing these systems is how we configure direct-911, the desk notification and dispatchable location correctly the first time.

INTERFACES & INTEGRATIONS
The calls that matter most are the ones your phone system can’t make alone.
A guest’s wake-up call, a 911 dispatch that has to carry a room number, a charge that has to post to the right folio: none of these happen inside the phone system by itself. Each one is a handoff: to the PMS, to the network and the SIP carrier, to the location data that tells 911 where to go, to the front desk that has to be told the instant a room dials out. We engineer and document those connections across your NY and NJ properties, so the phone system doesn’t just ring. It does the job the rest of the building is counting on.
PMS INTEGRATION
Wake-Ups, Message Lights & Folio
Automated wake-up calls, message-waiting indicators, room-status dialing from housekeeping and call charges posted to the guest folio all ride the link between the phone system and the PMS. We keep that interface current so the small signals guests trust keep firing.
EMERGENCY LOCATION
Dispatchable Location for 911
The RAY BAUM’S Act requires every 911 call to carry a dispatchable location. We map extensions and switch ports to building, floor and room, and keep that data accurate as the property changes, so responders arrive where the call came from.
FRONT-DESK ALERT
Kari’s Law Notification
Kari’s Law requires a 911 call to alert staff as it’s placed. We route that notification to the front desk, security, or wherever your team watches, so someone can meet responders at the door while the call is still live.
NETWORK & SIP TRUNKING
Trunks, SBC & Voice Lane
SIP trunks, the session border controller, and a voice lane walled off from guest and payment traffic are what keep a call clear and connected. We build and monitor that layer so dial tone holds when the network is busy.
VOICEMAIL & MESSAGING
Voicemail-to-Email & MWI
Guest and staff voicemail, message-waiting lights and voicemail delivered to email all depend on the phone system talking cleanly to the mail and network layer. We keep those paths working so what a guest leaves behind actually reaches the person it was meant for.
CALL ACCOUNTING
Call Records & Overhead Paging
Call-detail records for billing and review, plus overhead and emergency paging across the property. We support those integrations so the back office has its numbers and staff can be reached building-wide.
THE HOSPITALITY-GRADE DIFFERENCE
A desk phone needs dial tone. A hotel phone system runs wake-up calls, guest voicemail and the PMS.
The difference is whether the team on the other end keeps all of that connected and knows the platform your property runs, or supports your phone system like any other desk phone.

THE WHOLE STACK
The phone is one line into a building full of systems we run.
The layers a hotel runs on: the engineering pillars, the guest-facing experience, and the systems built for hospitality alone, with one crew answerable for all of them.
Networks & Infrastructure
FOUNDATION
Voice is data with no patience, so it rides the same backbone as everything else. We run the circuits and their failover, the cabling to every outlet, the switches that power each handset over the wire, the firewalls, and the servers on the property. We then give voice its own lane and priority so a call stays clean on a busy network. If the building’s upstream link drops, the standby path keeps the desk dialing.
Built Only For Hotels
HOSPITALITY BUILDS
Hospitality runs on builds that exist nowhere else. The phone system is one; the others are the front-desk PMS, the door locks and mobile keys, the in-room TV with casting, the building controls and the staff safety alarms. We meet each one where it hands to the network, and every one opens as its own spoke from here.
Cybersecurity
PILLAR
A hotel PBX is a server criminals probe for toll fraud, and a hijacked phone system means fraudulent calls and eavesdropping. We defend it the way we defend the rest of the property: round-the-clock detection and response, managed EDR on every endpoint, filtering on email and DNS, cameras and access control, security training for the staff who answer the phones, and the PCI-DSS evidence a card-brand review will want.
AI Infrastructure
PILLAR
Some groups want AI, a concierge assistant, patterns pulled from call data, but can’t let guest or staff records leave the property. So it all runs on site: your own AI server, models that stay in the building, and retrieval over your SOPs, call logs and rate sheets. Answers come from your data, and none of it leaves.
Smart Spaces
EXPERIENCE LAYER
The parts of the property a guest can hear and see: audio across the lobby, the bar and the restaurant, a video matrix with in-room casting, signage and wayfinding, scene-based lighting and climate, all built onto the same segmented network that carries voice. Commercial AV lives on its own spoke.
Managed IT
ONE ACCOUNTABLE TEAM
The crew behind all of it. Your staff reach a help desk, on site or remote, at any hour. Behind them runs the always-on monitoring and patching, managed endpoints and backups, disaster recovery, Microsoft 365 or Google Workspace, VoIP, co-managed IT and vCIO planning. Every layer on this page leans on that one crew.

THE ENTERPRISE PLATFORMS THE PHONES RUN ON
Hotel voice runs on the network we build, and we build it on Ubiquiti UniFi: PoE switching that powers every handset, a segmented voice lane with the quality-of-service a clear call needs, and the same managed platform carrying guest Wi-Fi, cameras and access control, all monitored and supported on N-able. One documented network per property, voice included, watched by the team that answers when a call won’t connect.
Systems we work across: Cisco · Mitel · Avaya · 3CX · NEC · Panasonic · Alcatel-Lucent · Grandstream · Yeastar · Polycom · And More!
We keep the network, servers and integrations under your phone platform healthy. We don’t sell phone systems or handsets; we’re the engineers who make sure voice, 911 and the PMS link keep working across your NY and NJ properties.
